What Comes Next After You Secure Your Wedding Venue?
Booking your wedding venue feels incredible. You’ve ticked off what everyone keeps calling the ‘biggest task’, and suddenly your celebration feels real instead of hypothetical. Then, within about 24 hours, the next wave hits: what actually comes next? The venue’s sorted, sure, but now there’s a photographer to find, a florist to book, entertainment to organise, and you’re not entirely sure which order any of it should happen in.
Well, there’s a smarter way to handle this without the constant stress. Some vendors absolutely need locking in within weeks of securing your venue. In contrast, others can wait for some time.
Your Post-Venue Hire Roadmap in Melbourne
Here’s how you should go about it:
Celebrant
Nobody thinks about this one until they’ve signed the venue contract. Popular celebrants book 12 to 18 months ahead. Particularly for spring and autumn Saturdays. Get searching immediately after confirming your venue. Meet a few. Check if their vibe matches yours. Sign them up. Some luxury wedding venues in Melbourne usually keep lists of celebrants who’ve worked there before, which helps a lot. Ask if your venue has a preferred suppliers list.
Photographer and Videographer
Photos stay forever. Simple as that. Photographers’ bookings are almost as fast as venues in Melbourne during the busy season. Really good ones? Gone 12 to 15 months ahead, sometimes more for popular dates. Don’t wait on this. After booking your celebrant, finding your photographer is the next job. Look through their actual work properly, meet them, and decide if they are the ones for you. You will be spending the whole day with them by your side, so make sure it’s someone who makes you feel comfortable and is easy to get along with!
Entertainment
Bands, DJs, string quartets: whatever you want, book early. Quality entertainment disappears 8 to 12 months before wedding dates. Think about the vibe you’re after, then start calling. Most musicians have recordings to share or meet beforehand. If your venue’s got noise limits or setup hassles, say so immediately. Nobody needs surprise restrictions appearing later. Many venues even have preferred or house DJs that are often less expensive than searching for one yourself.
Florist and Stylist
Flowers set the tone visually for everything. Good florists handle limited weddings per weekend, so book 6 to 9 months early. More if you want complex arrangements or seasonal blooms that aren’t always available. Bring venue photos to meetings. Florists need to see the room properly: colours, lighting, and how big it actually is to create arrangements that enhance rather than clash.
It’s becoming more and more popular for couples to opt for faux flowers due to pricing. While these don’t require as much advance notice as natural florals – still get searching earlier rather than later incase shipping is required. Some of the prettiest floral arrangements and bouquets we’ve seen are from $2 stores, Kmart, or even people selling on Facebook Marketplace!
Hair and Makeup
People assume this can wait. It can’t. Decent artists fill up months ahead, more during peak wedding season. Book them, then do trials. You need to test looks and timing. Getting ready at your venue? Plenty of wedding venues in Melbourne have bridal suites for this. Confirm your artist’s fine working there and has everything needed. Mobile artists charge travel, so factor that in.
Cake Supplier
Custom cakes need design time, tastings, and creation. Book 4 to 6 months out minimum. Consider guest dietary needs during planning. Be it vegan, gluten-free, or allergy-free. If your venue cuts and serves cake, confirm with both the venue and supplier. This is very important in order to avoid confusion. Transport and setup matter more than expected, especially for tiered cakes.
Transport
This one is often forgotten about. Classic cars. Vintage buses. Nice vehicles for groups. They book months ahead. Sort this 3 to 4 months before your date. Calculate the timing between the ceremony and reception (if any) carefully. Traffic, photo stops, and actual drive time. Picked one of those luxury wedding venues that Melbourne offers, where everything’s in one location? Skip transport entirely. Saves money and hassle.
Get It Done Right
Still not sure? Reach out to your venue and find out if they have a preferred suppliers list. This is a great place to start. If you aren’t sure about a particular vendor, ask your venue team to see if they personally know or recommend them.
